MARKETING MANAGER
Report to: Director of External Affairs
Status: Full-time, Exempt
Scope and Purpose of Job
The Marketing Manager will be responsible for communicating the museum’s programs and mission to enhance its reputation as a vital cultural resource to the public and to build its audiences. The Marketing Manager will work with the Public Relations Manager to promote the museum’s public image and programs using different media outlets. The Manager will also be responsible for developing and implementing marketing strategies to maintain and develop new audiences for the museum’s exhibitions, public programs and special events. The Manager will also oversee the design, production and distribution of the museum’s communications materials.
Responsibilities
- Develop a long-term marketing and communications strategy to increase the museum’s name recognition and reputation for outstanding arts programs with key audiences.
- Develop bilingual institutional communication materials for the Museum’s various departments (institutional brochure, membership brochure, education and theater brochures, community and audience development materials, etc.).
- Manage the development of content for public information vehicles such as the museum’s newsletters, annual reports, institutional brochures and web site, as well as for Destination: El Barrio materials such as the map, flyers and web site.
- Provide oversight for annual advertising media budget. Manage the purchase and placement of advertising units in different media outlets such as: newspapers, radio, magazines and internet.
- Oversee and coordinate designers, list brokers, printers, mail houses to produce season brochures, newsletter and other promotional materials.
- Determine attendance goals and develop outreach strategies for new audiences, as well as provide relevant marketing information to program and senior staff.
- Maintain all audience attendance records for exhibitions, public programs and special events. In addition, coordinate audience research survey efforts.
- Work with the Director of External Affairs to facilitate the efforts of the Board Marketing and Earned Income Committee to promote the interests of the Museum.
- Work with the Executive Steering Committee of the East Harlem Board of Tourism to facilitate their efforts in promoting the interests of East Harlem.
Qualifications
- BA degree, preferably in Marketing, Communications or related field.
- Bilingual in English and Spanish
- 3+ years marketing experience, preferably in an arts and culture organization or advertising agency.
- Many of the duties assigned to this position require working across different Museum departments; the manager therefore should have high initiative, very strong creative and strategic abilities and outstanding people skills.
- Exceptional writing, editing, messaging, and oral communication skills to reach a variety of different audiences.
- Computer literacy and the ability to focus on details and deadlines. Experience with new media strategies and technologies a plus.
- Some graphic design experience and supervision of printing of materials.
- Ability to manage multiple projects and budgets.
- Willingness to work nights and weekends when necessary.
- Knowledge of art and Latin American culture preferred.
- Familiarity with East Harlem cultural assets a plus.

PUBLIC RELATIONS MANAGER

The Public Relations Manager will be responsible for promoting the museum’s programs and mission to enhance its reputation as a vital cultural resource to the public and to build its audiences. S/he will develop communications strategies to promote the museum’s public image and programs using media outlets such as newspaper, radio, television, magazines and web sites. The Manager will also oversee the design, production and distribution of the museum’s exhibition and programmatic communications materials and will work with the Marketing Manager to create advertising plans. Many of the duties assigned to this position require working across different Museum departments; the manager therefore must have high initiative, very strong creative and strategic abilities and outstanding communication and people skills.
The Public Relations Manager will supervise the Webmaster and Graphics Coordinator, responsible for the content maintenance of El Museo’s website, and for the design and layout of institutional and departmental marketing and promotional materials, consistent with the organization’s established overall identity and appearance guidelines.
Responsibilities
- Provides, in conjunction with Executive Staff, authoritative information on museum policies and procedures to the general public, press and media. Handle all press related calls and mail inquires regarding the museum’s programs and services.
- Create and disseminate bilingual press releases and general information regarding museum exhibitions, public programs, and special events.
- Maintain good personal contacts and updated database of local, national, and international art critics, editors, feature writers, freelance writers and broadcast journalists to develop extensive press coverage of exhibitions and other museum activities.
- Organize exhibition press previews and press related events, and represent the Museum at external events.
- Identify and secure media sponsorships to maximize event promotion when possible. Develop and maintain partnerships with media outlets.
- Develop all bilingual promotional materials within the museum relating to exhibitions, education programs (panels, lectures, festivals and family days), theatre programs (film festivals, concerts and in some instances, rentals and collaborations), special events, membership and community programs.
- Supervise design, production, distribution and mailing of internal and external printed bilingual communications materials, such as press kits, print ads and calendars of events.
- Work with Marketing Manager to select key promotional images for use in exhibition advertising and promotional campaigns in consultation with curators or program directors. Work with curators and right holders to clear images to use in promotional campaigns. Secure necessary approvals for all ad placements, including crediting information, and proofread all ad placements and printed materials to ensure quality control and accuracy.
- Coordinate photographic documentation of museum events. Supervise camera and video shoots in coordination with the curatorial and operations departments.
- Supervise design, production and installation of external exhibition signage.
- Maintain and update press archives, publicity tracking system for exhibitions, public programs and special events.
- Work with Director of External Affairs to facilitate the efforts of the Board Marketing and Earned Income Committee.
Qualifications
- BA degree, preferably in Communications, Journalism, Marketing or Art History.
- 3+ years public relations/media relations experience, preferably in an arts and culture organization or public relations agency.
- Excellent English /Spanish bilingual written and verbal communication skills.
- Strong computer skills, including working knowledge of Microsoft office, desk top publishing and power point. Working knowledge of Bacons (Cision) media service a plus.
- Ability to write well and quickly under time constraints. Ability to manage multiple projects and budgets, tight deadlines and work independently in high pressure environment.
- Must be effective at pitching story ideas to journalists.
- Some graphic design experience and supervision of printing of materials.
- Knowledge of art and Latin American culture preferred.

COMMUNITY RELATIONS OFFICER
Report to: Director of External Affairs

Scope and Purpose of Job
To serve as a liaison to community and cultural organizations who serve a broad audience of adults, families, youth and children. To seek and facilitate opportunities through public programs, outreach, collaboration and partnership with community organizations, libraries, universities, senior centers, civic groups, government entities and cultural organizations that will provide greater access to new and non-traditional museum audiences, in particular Latino audiences throughout the New York Metropolitan area. In addition, work with City, State and Federal government offices and help to maintain an ongoing dialogue between the Museum and its representatives. Work with public agencies, consortia and alliances to help implement cultural policies. Manage El Museo’s Community Engagement Plan, designed to deepen the institution’s relationship with its founding community of East Harlem and expand its outreach to other underserved communities throughout New York City. Build an institutional understanding and ownership of El Museo’s community affairs efforts. Work closely with all appropriate departments to raise Museum’s profile and build good will in the community at large.
Responsibilities
- Coordinate and cultivate the Museum’s community relations, working to establish new contacts and maintain current ones. Develop program for community involvement and information sharing, and generate outreach and special events to strengthen working relationships with organizations and businesses locally and regionally, and create mutually beneficial partnerships.
- Research and identify community organizations serving diverse audiences. Establish and maintain a relationship with these organizations with the purpose of exploring their needs and interests, and establishing preferred channels for sharing El Museo’s programs and offerings. Manage and maintain a comprehensive database for all community affairs contacts.
- Manage all aspects of the institution’s Community Engagement Plan, working to better connect El Museo with its founding community of East Harlem and various other underserved communities. Communicate how the institution can be used as a resource, and the importance of incorporating arts into community life.
Meet with community leaders regularly and market existing programs (exhibition tours/workshops, public programs, community festivals, family days) through institutional presentations, mailings, email blasts, etc.
- Facilitate mutually beneficial collaborations between El Museo’s Education and Public Program Department and community organizations, with on- and off-site program components, including museum visits, lecture presentations, slide discussions, and hands-on activities for children, families, youth and seniors.
- Coordinate and cultivate institutional relations with Universities and Colleges, working to establish new contacts and maintain current ones. Develop a distribution strategy of marketing materials, and facilitate mutually beneficial partnerships.
- Work with the Marketing Manager to facilitate a community outreach list for the distribution of exhibition and public program promotional materials (includes public offices, community centers, social service organizations, universities, etc.)
- Establish measurable goals and assessment methods for new audiences. Assist the Marketing Manager in tracking attendance and impact of outreach. Assess the results of collaborations and, if positive, consider rolling out to larger geographic areas.
- Host related meetings and events on-site; as well as represent and coordinate representation for the Museum in various external forums such as general Community Board meetings and other community based meetings. Some evening and weekend meetings must be attended.
- Serve as Museum’s main liaison to East Harlem’s Community Board Eleven (CB11) and coordinate El Museo staff attendance at CB11 full board meetings, as well as at its Cultural and Education Committee meetings.
- Coordinate and facilitate Museum’s participation in community festivals, fairs, etc.
- Work with the Director of External Affairs and the Government Affairs Officer to develop and strengthen relationships and communication with elected officials and staff at all levels of government, with goal of increasing and maintaining support for Museum’s operating and capital budgets.
- Work with the Director of External Affairs to facilitate the efforts of the Trustee Government and Community Affairs Committee to promote the interests of the Museum and meet the needs of community organizations. Assist in setting institutional policy related to issues concerning community service, programming, and other relevant areas of community interest.
- Work with the Director of Education and Public Programs to promote a series of thematic presentations (fee- and non-fee based) on El Museo’s history and main programming strengths (Taíno, Voces y Visiones). Market presentations to community centers, civic groups, libraries, universities, community boards, public housing and senior centers.
- Assist the Development Department with grant proposals and reports as needed.
Qualifications
- College graduate with 3-5 years of professional experience in community affairs and public policy or related field.
- Excellent written and verbal communication skills.
- Excellent interpersonal skills with the ability to work productively with diverse constituencies as well as government agencies.
- Well acquainted with the community of East Harlem, in addition to working knowledge of NYC ethnic and cultural communities and public funding system.
- Spanish/English bilingual skills and computer literacy required.
- Background in Latin American and Caribbean art and culture a plus.

GALA JOURNAL WRITER / EDITOR
About El Museo
The Mission of El Museo del Barrio is to present and preserve the art and culture of Puerto Ricans and all Latin Americans in the United States.
Through its extensive collections, varied exhibitions and publications, bilingual public programs, educational activities, festivals and special events, El Museo educates its diverse publics in the richness of Caribbean and Latin American arts and cultural history.
By introducing young people to this cultural heritage, El Museo is creating the next generation of museum goers, while satisfying the growing interest in Caribbean and Latin American art of a broad national and international audience.
The annual El Museo Gala, celebrating its 16th year in 2009, raises crucial operating funds for the museum. It has been lauded by the press as one of the “hottest tickets in town” and a veritable “who’s who” of Latino and non-Latino cultural luminaries and leaders in business, art and philanthropy. The Gala receives prominent international coverage in Town & Country, W Magazine, The New York Times, The New York Post, New York Magazine, Women’s Wear Daily, The New York Observer, Hola and Vanidades, among countless other publications. The spring 2009 Gala will take place on May 20, 2009.
Tasks to be accomplished
As part of each year’s Gala, El Museo distributes a Gala Journal, which ran to 86 pages, plus cover, in 2008.
El Museo seeks a graphic artist or graphic arts firm to oversee design of the 2009 Gala Journal. Specific responsibilities will include:
- Meet with the writer/editor and key El Museo staff to discuss the design concept of the Journal.
- Oversee all elements of book design.
- Coordinate technological and other logistics connected with image procurement and resolution, paper stock, etc.
- Agree to and adhere to a firm schedule of deadlines for deliverables.
- Work in coordination with the writer/editor to communicate with the Gala Journal printer.
This consultancy should begin in February 2009 and be completed by May 20, 2009.

Interested individuals or firms should submit the following, no later than January 16:
- A proposal describing your qualifications (or the qualifications of the team of consultants) and how the tasks described above would be carried out.
- A firm estimate of fees to be charged, and an estimate of expenses that would be incurred.
- Resumes of all consultant who would be involved in the project.
- Names, phone numbers and contact people at three companies or nonprofit organizations who have been your clients during the last 18 months, whom we can call on as references.
- Samples of at least three completed projects.
- Interviews with finalists will be held during the week of January 26.
