RETAIL AND PRODUCT DEVELOPMENT MANAGER

Report to: Director of Finance & Administration
Department: Museum Shop
Status: Full time, Exempt

Scope and Purpose of Position
Working under broad direction, manages museum shop operations, merchandising, licensing, and product development. Has extensive contact with staff at all levels of the organization, volunteers, Board members, and outside vendors. Reports to the Director of Finance and Administration. Supervises directly and indirectly museum shop staff.

Responsibilities

  • Manages museum shop operations and merchandising, including ecommerce.
  • Determines the selection and purchase of product lines appropriate to El Museo.
  • Researches the collections for materials that can be used in licensing and product development in partnership with El Museo’s curatorial and external affairs staff.
  • Negotiates licensing agreements.
  • Works closely with other staff and vendors to develop product lines and merchandising strategies for events and exhibitions.
  • Prepares, administers, and monitors performance against income and expense budget.
  • Supervises the museum shop assistant manager and part time personnel in adherence to established personnel policies.
  • Oversees the training and motivation of museum shop staff to develop marketing and customer service skills, and to promote loss prevention awareness.
  • Develops and implements cash handling procedures; assures the safekeeping of cash and other sales media within the museum shop store.
  • Develops and implements controls for the safekeeping of inventory from loss or theft.
  • Maintains adequate inventory levels and oversees the annual physical inventory of the museum shop.
  • Serves on committees as appropriate.
  • Other duties as assigned.

Qualifications

  • Must have strong verbal and written communication skills and excellent interpersonal skills; should be creative, resourceful and self-motivated. These skills and abilities are usually acquired through the completion of a BA or BS degree, or equivalent college coursework.
  • Must have strong managerial skills.
  • Ability to work productively with diverse constituencies.
  • Familiarity in the subjects of Latin American Art History preferred.
  • Retail financial analysis ability desirable.
  • Must have at least five years of significant retail experience in a managerial position, with experience in product development and creating merchandising strategies for a target audience. Experience in setting up licensing/ royalties arrangements desirable.
  • Supervisory skills required. These skills are usually acquired through managing a staff of three or more employees for at least three years.
  • Experience working with retail point-of-sale systems required.
  • Experience working in a museum environment or in a store with similar merchandise lines preferred.

Working Conditions
Normal office environment. Some work is performed in the museum shop and in receiving areas. Some work is also performed on a personal computer.

RENTALS MANAGER

Report to: Director of Development
Department: Development
Status: Full time, Exempt

Overall Responsibilities
El Museo del Barrio's Rentals Manager will play a leadership role in El Museo's Development Department by helping to generate significant income through the rental of El Museo facilities. The Rentals Manager will also provide back up support to El Museo's in-house special events activities and will assist with other elements of El Museo's activities as needed.

The Rentals Manager will be a dynamic, proactive, creative, sales-oriented individual committed to filling El Museo's calendar with earned income revenue. He or she will be responsible for making every effort to rent every available space at El Museo as often as possible. These spaces include, but may not be limited to, El Museo's galleries, 599-seat theater, café, lobby, courtyard and talleres (third floor arts education studios).

This position is primarily sales oriented and the successful candidate will bring expertise in salespersonship, preferably in a for-profit setting, to El Museo. Due to the on-demand nature of this position, the Rentals Manager must be very flexible in terms of schedule, prepared to work early, late and weekends as needed.

Primary Responsibilities

  • Communicate on an ongoing basis with meeting planners, event planners, concert promoters, marketing firms, local businesses, community groups, nonprofit organizations, film production coordinators
  • In coordination with El Museo's marketing department, place and track ads in appropriate print and online publications, such as (for purposes of example) Agenda New York, Locations magazine, Crain's New York Business's meeting planning guide, newsletters of groups such as the Greater New York chapter of Meeting Professionals International, etc.
  • Speak about rental opportunities at El Museo at community events, networking events, in phone calls, etc.
  • Take incoming calls regarding rental opportunities. All voicemail or other messages must be returned promptly.
  • Work with all museum departments in soliciting contacts or ideas to promote the facilities.
  • Lead site visits with prospective renters and follow up diligently.
  • In coordination with El Museo's marketing department, prepare and maintain print and online promotional materials.
  • In coordination with El Museo's Operations and Fiscal departments, prepare and maintain intake and other administrative forms.
  • Help set financial goals track success against those goals.
  • Prepare budgets for rental events
  • Manage relations with existing and potential clients and prepare evaluation of clients experience
  • Maintain a list of comparative rental prices for other organizations
Special Events
  • Provide support to El Museo's Special Events department in connection with onsite and offsite fundraising events, as needed.
  • Provide support to El Museo's Special Events department in connection with conceiving, scheduling, planning and implementing El Museo cultivation and stewardship events, including studio visits, private collection tours, travel program trips, VIP gallery tours at El Museo and with other museums, etc.
Additional Responsibilities
  • Assist with preparation of annual budgets
  • Other tasks as assigned and needed

Qualifications

  • Bachelor's degree required, preferably in a business related field.
  • Extensive experience with sales and/or event planning, preferably in a for-profit, results-oriented setting.
  • Appreciation of El Museo's mission and the ability to communicate that mission effectively and enthusiastically
  • Strong written and oral communication skills; good presentation skills
  • Entrepreneurial "can-do" spirit, upbeat attitude and sense of humor
  • Ability to work productively with diverse constituencies
  • Spanish/English bilingual and close familiarity with Latino/Latin American culture strongly preferred.
  • Strong computer skills

El Museo del Barrio is the premier American museum whose mission is to present and preserve the art and culture of Puerto Ricans and all Caribbean, Latin American and Latino people in the United States. It is New York City's only major museum with this focus and the City's leading educator in Latino, Latin American and Caribbean art and culture. SECURITY AND FACILITIES FIELD SUPERVISOR

Report to: Security and Facilities Manager / Director of Operations
Status: Full-Time Position

Overall Responsibilities
We are currently seeking to fill the position of: Security and Facilities Field Supervisor. The successful candidate will be responsible for assisting the Security and Facilities Manager in the day to day operations of the institution. The ideal candidate for this position will be technologically savvy. Specifically, you will be responsible for operating security alarm, CCTV, access control systems and situational management of day to day 1st floor operation.

Primary Responsibilities

  • Maintain and identify problems with security equipment to include; CCTV, DVR's, Card Access Control, Key control, video cameras, fencing/gates, etc. and maintain inspection records.
  • Liaise with IT personnel to ensure equipment is operating according to specifications without disruption of service.
  • Managing site Burglar-Emergency Alarm Systems.
  • Insure quality service standards are maintained in all phases of security throughout the institution.
  • Will be point of contact for security service company for the contacting, scheduling supervising of out-sourced security personnel.
  • Developing, maintaining and initiating Security Personnel Training.
  • Supervision of Security personnel; including scheduling and time management of said personnel.
  • Promote intradepartmental relations throughout the institution and provide security assistance to all departments as needed.
  • First responder and point of contact to clients, customers, visitors, and staff members for resolutions of all visitor services issues and security concerns.
  • Responsible for investigating incidents related to security and safety and/or institutional assets.
  • Assist with processing Background Investigations on potential security personnel.

Knowledge, Skills and Abilities

  • Ability to effectively present/disseminate and answer questions to a culturally diverse populace of all age groups.
  • Must be adept at problem resolution and have a visitor service mentality for dealing with patrons on a day to day basis.
  • Candidate must have or be able to obtain F 94, CPR and First Aid certification.

Requirements

  • 3-5 years experience in a security related field. Supervisory experience a definite plus.
  • New York State Security Guard certification preferred.
  • Associate degree or higher. Will consider candidate with high school diploma and four year experience in a supervisory capacity.
  • Computer literacy a must. Must be familiar with: Microsoft office; outlook, excel and word.
  • Must be able to work well independently and as part of a team.
  • Ability to work night and weekends, as per institution needs.

SECURITY GUARD

Report to: Security and Facilities Manager / Director of Operations
Status: Full-Time Position

Overall Responsibilities
We are currently seeking to fill the position of Security Guard. Security guards are responsible for patrolling the facility, manning a post, provide a security presence and enforce the institutions rules and regulations. The successful candidate will be responsible for working closely with the first floor field supervisor and security manager in all facets of security and safety.

Primary Responsibilities

  • Communicating and interacting with the general public at all levels.
  • Assist in keeping a safe and secure facility through good security and customer services practices.

PUBLIC RELATIONS MANAGER

Report to: Director of External Affairs
Status: Full-Time, Exempt

Scope and purpose
The Public Relations Manager will be responsible for promoting the museum's programs and mission to enhance its reputation as a vital cultural resource to the public and to build its audiences. S/he will develop communications strategies to promote the museum's public image and programs using media outlets such as newspaper, radio, television, magazines and web sites. The Manager will also oversee the content of the museum's exhibition and programmatic communications materials and will work with the Marketing Manager to create advertising plans. Many of the duties assigned to this position require working across different Museum departments; the manager therefore must have high initiative, very strong creative and strategic abilities and outstanding communication and people skills.

The Public Relations Manager will supervise the Webmaster and Graphics Coordinator, responsible for the content maintenance of El Museo's website, and for the design and layout of institutional and departmental marketing and promotional materials, consistent with the organization's established overall identity and appearance guidelines.

Responsibilities

  • Provides, in conjunction with Executive Staff, authoritative information on museum policies and procedures to the general public, press and media. Handle all press related calls and mail inquires regarding the museum's programs and services.
  • Create and disseminate bilingual press releases and general information regarding museum exhibitions, public programs, and special events.
  • Maintain good personal contacts and updated database of local, national, and international art critics, editors, feature writers, freelance writers and broadcast journalists to develop extensive press coverage of exhibitions and other museum activities.
  • Organize exhibition press previews and press related events, and represent the Museum at external events.
  • Identify and secure media sponsorships to maximize event promotion when possible. Develop and maintain partnerships with media outlets.
  • Develop all bilingual promotional materials within the museum relating to exhibitions, education programs (panels, lectures, festivals and family days), theatre programs (film festivals, concerts and in some instances, rentals and collaborations), special events, membership and community programs.
  • Supervise design, production, distribution and mailing of internal and external printed bilingual communications materials, such as press kits, print ads and calendars of events.
  • Work with Marketing Manager to select key promotional images for use in exhibition advertising and promotional campaigns in consultation with curators or program directors. Work with curators and right holders to clear images to use in promotional campaigns. Secure necessary approvals for all ad placements, including crediting information, and proofread all ad placements and printed materials to ensure quality control and accuracy.
  • Coordinate photographic documentation of museum events. Supervise camera and video shoots in coordination with the curatorial and operations departments.
  • Supervise design, production and installation of external exhibition signage.
  • Maintain and update press archives, publicity tracking system for exhibitions, public programs and special events.
  • Work with Director of External Affairs to facilitate the efforts of the Board Marketing and Earned Income Committee.

Qualifications

  • BA degree, preferably in Communications, Journalism, Marketing or Art History.
  • 3+ years public relations/media relations experience, preferably in an arts and culture organization or public relations agency.
  • Excellent English /Spanish bilingual written and verbal communication skills.
  • Strong computer skills, including working knowledge of Microsoft office, desk top publishing and power point. Working knowledge of Bacons (Cision) media service a plus.
  • Ability to write well and quickly under time constraints. Ability to manage multiple projects and budgets, tight deadlines and work independently in high pressure environment.
  • Must be effective at pitching story ideas to journalists.
  • Some graphic design experience and supervision of printing of materials.
  • Knowledge of art and Latin American culture preferred.

ASSISTANT TO SECURITY AND FACILITY MANAGER

Report to: Manager of Security and Facilities / Director of Operations
Stuatus: Full Time Position 


Overall Responsibilities

We are currently seeking to fill the position of: Assistant to Facility and Security Manager. We are seeking a detail oriented, independent energetic self-starter with the ability to handle multiple concurrent projects, and prioritize effectively.


Primary Responsibilities

Working closely with the Security and Facility Manager the successful candidate will be responsible for all facets pertaining to facility operations, including but not limited to:

  • Assist in the preventive maintenance, troubleshooting and repair of El Museo's mechanical and electronic systems. (HVAC, security systems, lighting equipment, etc.)
  • Assist/perform building wide repairs, including but not limited to: plastering, painting, minor electrical work and plumbing.
  • Review incoming work orders requests and take action, by allocating resources, planning, prioritizing.
  • Create daily employee job assignments; follow-up on active & pending work orders and take appropriate action for completion, as required.
  • Work closely with the Work Employment Resource Manager to organize and optimize the Work Employment Program (WEP) personnel when necessary.
  • Assist with special events set-up, evening and weekend lecture, performances, workshops and demonstrations.
  • Serve as the Administrator for onsite security personnel and security system as needed.
  • Assign schedules and supervise the training and work assignments of operations personnel.
  • Oversee the maintenance of tools, equipment and keep proper inventory of supplies.
  • Proactively communicating facility issues and status to Manager of Security and Facilities.
  • Responding to Department's and employee requests promptly and courteously, with a customer-service focus.

 

Job Requirements

  • 2-4 years of experience in building operations and maintenance. Supervisory experience a plus.

COMMUNITY RELATIONS OFFICER

Report to: Director of External Affairs
Stuatus: Full Time, Exempt 


Scope and Purpose of Job

To serve as a liaison to community and cultural organizations who serve a broad audience of adults, families, youth and children. To seek and facilitate opportunities through public programs, outreach, collaboration and partnership with community organizations, libraries, universities, senior centers, civic groups, government entities and cultural organizations that will provide greater access to new and non-traditional museum audiences, in particular Latino audiences throughout the New York Metropolitan area. In addition, work with City, State and Federal government offices and help to maintain an ongoing dialogue between the Museum and its representatives. Work with public agencies, consortia and alliances to help implement cultural policies. Manage El Museo’s Community Engagement Plan, designed to deepen the institution’s relationship with its founding community of East Harlem and expand its outreach to other underserved communities throughout New York City. Build an institutional understanding and ownership of El Museo’s community affairs efforts. Work closely with all appropriate departments to raise Museum’s profile and build good will in the community at large.


Responsibilities

  • Coordinate and cultivate the Museum’s community relations, working to establish new contacts and maintain current ones. Develop program for community involvement and information sharing, and generate outreach and special events to strengthen working relationships with organizations and businesses locally and regionally, and create mutually beneficial partnerships.
  • Research and identify community organizations serving diverse audiences. Establish and maintain a relationship with these organizations with the purpose of exploring their needs and interests, and establishing preferred channels for sharing El Museo’s programs and offerings. Manage and maintain a comprehensive database for all community affairs contacts.
  • Manage all aspects of the institution’s Community Engagement Plan, working to better connect El Museo with its founding community of East Harlem and various other underserved communities. Communicate how the institution can be used as a resource, and the importance of incorporating arts into community life.
    Meet with community leaders regularly and market existing programs (exhibition tours/workshops, public programs, community festivals, family days) through institutional presentations, mailings, email blasts, etc. 
  • Facilitate mutually beneficial collaborations between El Museo’s Education and Public Program Department and community organizations, with on- and off-site program components, including museum visits, lecture presentations, slide discussions, and hands-on activities for children, families, youth and seniors.
  • Coordinate and cultivate institutional relations with Universities and Colleges, working to establish new contacts and maintain current ones. Develop a distribution strategy of marketing materials, and facilitate mutually beneficial partnerships.
  • Work with the Marketing Manager to facilitate a community outreach list for the distribution of exhibition and public program promotional materials (includes public offices, community centers, social service organizations, universities, etc.)
  • Establish measurable goals and assessment methods for new audiences.  Assist the Marketing Manager in tracking attendance and impact of outreach.  Assess the results of collaborations and, if positive, consider rolling out to larger geographic areas.  
  • Host related meetings and events on-site; as well as represent and coordinate representation for the Museum in various external forums such as general Community Board meetings and other community based meetings.  Some evening and weekend meetings must be attended.
  • Serve as Museum’s main liaison to East Harlem’s Community Board Eleven (CB11) and coordinate El Museo staff attendance at CB11 full board meetings, as well as at its Cultural and Education Committee meetings.
  • Coordinate and facilitate Museum’s participation in community festivals, fairs, etc.
  • Work with the Director of External Affairs and the Government Affairs Officer to develop and strengthen relationships and communication with elected officials and staff at all levels of government, with goal of increasing and maintaining support for Museum’s operating and capital budgets.
  • Work with the Director of External Affairs to facilitate the efforts of the Trustee Government and Community Affairs Committee to promote the interests of the Museum and meet the needs of community organizations. Assist in setting institutional policy related to issues concerning community service, programming, and other relevant areas of community interest.
  • Work with the Director of Education and Public Programs to promote a series of thematic presentations (fee- and non-fee based) on El Museo’s history and main programming strengths (Taíno, Voces y Visiones). Market presentations to community centers, civic groups, libraries, universities, community boards, public housing and senior centers. 
  • Assist the Development Department with grant proposals and reports as needed.

 

Qualifications

  • College graduate with 3-5 years of professional experience in community affairs and public policy or related field.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal skills with the ability to work productively with diverse constituencies as well as government agencies.
  • Well acquainted with the community of East Harlem, in addition to working knowledge of NYC ethnic and cultural communities and public funding system.
  • Spanish/English bilingual skills and computer literacy required.
  • Background in Latin American and Caribbean art and culture a plus.

CONTENT EDITOR FOR ANNUAL JOURNAL AND WEBSITE

El Museo del Barrio, New York’s premier Latino cultural institution, representing the diversity of art and culture in the Caribbean and Latin America has an immediate need for a Content Editor focusing on its Annual Journal and new Website, on a project basis.


Responsibilities

The Content Editor will be required to work closely with the External Affairs department to develop and edit the content of both the Annual Journal and Website in line with El Museo’s branding guidelines. Agree to adhere to a firm schedule of deadlines for deliverables, as well as work closely with a Spanish translator to create a coherent institutional ‘voice.’

The Annual Journal provide members and key stakeholders information on the institution’s mission, membership, events, highlights, as well as a retrospective on exhibitions, education, performing arts and public programs. The publication is distributed during El Museo’s annual Gala, to be held this year on May 20, 2009.

In addition, El Museo will be launching a new Website in the coming months with a completely redesigned image and new content. The website will serve as El Museo’s primary information vehicle, which will include pages dedicated to all program offerings and various functions.


Qualifications

The ideal candidate should possess strong writing and editorial management experience preferably in an arts and/or cultural organization, experience in both print and online content development and management, ability to understand the needs and values of several diverse audiences and manage the content and style for each audience, and manage workflow to meet competing deadlines in the next four months.

MANAGER OF PUBLIC PROGRAMS

Report to: Director of Education and Public Programs
Status: Full time, Exempt


Scope and Purpose of Job

El Museo’s public programs expand the Museum’s reach to adult audiences and further develop El Museo’s position as a forum for the discussion of critical issues in Latin American and Caribbean art and culture, and the presentation of various related art forms. The Manager of Public Programs will develop and implement creative programs for adult museum visitors related to the museum’s mission, exhibitions and its Permanent Collection. The Manager will develop a mix of programs to attract and engage a diverse adult audience—those whose primary interest is the visual arts, as well as those attracted by literature, spoken-word, and film programming.


Responsibilities

  • Plan, coordinate, supervise and evaluate the Museum’s public programs, including lectures, panel discussions, symposia, artist talks, book presentations, performances, and film screenings.
  • Responsible for establishing and managing program budgets.
  • Coordinate program logistics with the Operations Department.
  • In conjunction with the Public Relations Manager and Marketing Manager, assist with the promotion and outreach of programs, including creating content for email marketing campaigns, promotional materials and potential media sponsors.
  • As the coordinator of the Programming Committee, organize bi-monthly programming meetings and collaborate with the Curatorial, Performing Arts, Development, and Public Relations departments.
  • Develop university audience and academic partnerships; pursue collaborations for programs/symposia; strengthen internship program and support for new scholarship.
  • Pursue potential partnerships with other cultural institutions and community organizations.
  • Collaborate with the Manager of Family Programs and Cultural Celebrations in planning, coordinating, supervising and evaluating Cultural Celebrations and Festivals.


Additional Responsibilities

  • Support ongoing strategic planning processes and implementation of plan; follow guidelines for reporting in relevant program areas.
  • Assist in the writing of grants and proposals pertaining to Public Programs, tracking and reporting numbers, providing visual documentation, and assembling anecdotal feedback from program audiences served.
  • Support the design and printing of brochures and related program audience announcements and website materials.
  • Support other areas in the department as needed, working closely with the Manager of Family Programs, and supervising the Public Programs Assistant.


Qualifications

  • B.A., MA in art history, arts administration, or related field preferred, and 3 years experience in a museum or related arts organization.
  • The candidate must be detail oriented, have experience reaching local community audiences and knowledge of Latino/Latin American art and culture.
  • Excellent follow-up and organizational skills.
  • Strong interpersonal skills and public presentation skills.
  • Spanish/English bilingual skills preferred.
  • Excellent written and verbal communication skills.
  • Must be able to work a flexible schedule as most programs are planned for evenings and weekends.
